Job Title: Administrator

Job Summary
The Administrator manages and executes essential administrative functions to ensure the diaspora social club's chapter operations and processes run smoothly. Reporting directly to the Social Director, this role handles new member applications and onboarding, curates internal communications, and maintains the club's digital presence. Additionally, the Administrator provides vital operational support to the broader management team through research, schedule coordination, and procurement logistics.
Key Responsibilities
Membership & Onboarding Administration
Process incoming membership applications swiftly and efficiently.
Coordinate the new member onboarding process to ensure a welcoming experience.
Maintain and update accurate member databases and contact records.
Communications & Digital Maintenance
Draft and publish the club’s comprehensive monthly membership newsletter.
Maintain the central social calendar to prevent scheduling conflicts.
Update the website and digital marketing materials with current information.
Management Team Support
Provide day-to-day administrative support including scheduling and meeting coordination.
Conduct operational research as requested by the Social Director and management team.
Manage office supply ordering, event material procurement, and vendor coordination.
Technical Skills & Software Proficiency
Administrative Suites: Advanced proficiency in Microsoft Office and Google Workspace.
Email Marketing & Web Content: Experience with newsletter tools (e.g., Mailchimp) and basic website CMS updates.
Project Management: Skilled in Asana or similar tools for tracking administrative tasks.
Database Management: Competency handling membership management software or spreadsheets.
Education & Experience Requirements
Required Education
Associate’s or Bachelor’s Degree in Business Administration, Communications, Office Management, or a related field (or equivalent work experience).
Required Experience
2–3 years of experience in an administrative, operations, or office coordination role.
Excellent written communication skills with experience writing newsletters or copy.
Strong organizational capabilities with a proven ability to manage multiple timelines.
High attention to detail when managing sensitive member data and calendar schedules.
